Why online forms reject photos and signatures
A rejected upload does not always mean the image looks bad. Many form systems check strict technical rules before a human ever sees the file. Fixing the exact rejection reason saves time and avoids making the image worse with unnecessary edits.
Most common rejection reasons
- The file is above the maximum KB or MB limit.
- The image dimensions do not match the required pixels.
- The file format is wrong, such as PNG uploaded where JPG is required.
- The file name contains spaces, brackets or special characters.
- The image is too dark, blurry, stretched or over-compressed.
Fix one thing at a time
If the error says "file size too large", reduce file size first. If it says "invalid dimensions", set the exact width and height first. Changing everything at once can create a new problem and make it harder to know what fixed the upload.
Keep a clean original
Save the original photo and create edited copies from it. If a portal rejects your first attempt, you can adjust from the original instead of repeatedly compressing a damaged image.
Read the rejection message carefully
Some portals give a precise error, such as "invalid file type" or "image dimensions too small." Others only say upload failed. When the message is vague, compare your file against each rule in the instructions: file type, file size, dimensions, background and naming.
When to retake the photo
If the photo is dark, angled or blurred, editing will only help a little. Retake the photo in better light, crop it cleanly and then compress. A clear source image saves more time than trying to rescue a poor one.
