Check a document before uploading it
Online forms can reject an otherwise valid document for a small technical reason: the wrong file type, an oversized PDF, unreadable text, extra pages, a password, or an unsupported file name. Work through this checklist before the final submission.
1. Copy the official requirements
Read the instructions beside the upload field and note the accepted format, minimum or maximum size, page limit and any required dimensions. Requirements can differ between fields on the same form. The current official instructions always take priority over a general guide.
2. Open the exact file you plan to submit
- Confirm the file opens without an error or password prompt.
- Check that names, dates, numbers, stamps and signatures are readable.
- Make sure no page is upside down, duplicated, missing or in the wrong order.
- Verify that the document belongs in the selected upload field.
3. Check format, size and name
A file extension is not enough on its own. A renamed image may still fail if the portal expects a real PDF. Use the file size checker to inspect the size and type, and use a simple name such as marksheet.pdf or photo.jpg. Avoid very long names and unusual symbols.
4. Use the least destructive fix
If the document is too large, reduce only as much as necessary. For photos, begin with the photo compressor and review the face or text at normal zoom. For several document images, use Images to PDF. For existing PDFs, avoid turning clear digital text into screenshots unless the form specifically requires images.
5. Review the form preview
Many portals show a file name, thumbnail or success label after selection. Confirm that the right file is attached to the right field, especially when photo, signature, ID proof and certificates appear close together. Do not assume that a successful selection means the portal has accepted the document content.
6. Keep the accepted copy
Store the final files and submission receipt in one folder until the application process is complete. If the portal later requests a correction, you can compare the new file with the exact version originally submitted.
